Plan a birthday party, broken into 7 small steps

Party planning is a chain of decisions where each one depends on the one before: you can't book a place without a guest count, and you can't count guests without a date.

Make the decisions in order and the whole thing becomes a checklist instead of a cloud of worry.

Start here · under 2 minutes

Pick a date and write it down.

Under two minutes. Check the birthday person's calendar if it's a surprise.

The rest of the steps

  1. Step 2:

    Write a rough guest list.

A number is enough to start. It decides the place and the food.

  2. Step 3:

Choose the place: home, a park, or a restaurant.

If it's a restaurant, call or book online today, while there's still space.

  3. Step 4:

    Send the invitations.

A group message is fine. Include date, time, place and an RSVP date.

  4. Step 5:

    Decide the food and drinks.

Order a cake, plan simple snacks, or pick a restaurant menu. Write the shopping list.

  5. Step 6:

    Make a short day-of list.

Candles, lighter, plates, a playlist, a gift. Put it on your phone.

  6. Step 7:

Set a reminder two days before to confirm numbers.

And to buy anything still missing.

Why this one stalls

It's a fun task with a lot of open questions, so you keep thinking about it without ever deciding anything.

If you get stuck

Simple parties are good parties. People remember who was there, not the decorations.

What “done” looks like

Invitations sent, the place booked, and a day-of list ready.

These steps follow the same rules as the method in our task breakdown guide: the first step is physical and takes under two minutes, and every step after it is something you can see yourself doing. Got a head full of other things too? Start with a brain dump.
